AI Automation Saved This Coaching Institute 20 Hours Every Week
The Challenge
Champion Square IAS, a competitive exam coaching institute in Indore, was getting 200-250 new inquiries per month from their website, Google ads, and Instagram. A team member was manually responding to every inquiry — calling, WhatsApping, sending brochures, following up. This was taking 20+ hours per week and still falling short: leads were slipping through the cracks because there was no system, only people.
How We Did It
Week 1 — Mapping the lead journey
We spent 3 days understanding every step of the current lead process: how leads came in, what information was needed to qualify them, what the typical questions were, and what triggered a decision to enroll. We mapped 14 decision points and identified that 80% of the lead journey was identical for every prospect — making it a perfect automation candidate.
Week 1 — WhatsApp AI bot build
We built a WhatsApp bot using the WhatsApp Business API connected to OpenAI GPT-4. The bot: (1) Sends an instant reply the moment a new lead submits a form, (2) Asks qualifying questions (which exam, current preparation level, city, timeline), (3) Based on answers, sends the relevant course brochure PDF automatically, (4) Offers to book a free demo class directly via a Calendly link, (5) Sends a reminder 24 hours before the scheduled demo.
Week 2 — n8n workflow and CRM integration
We built an n8n workflow that connects the website form, WhatsApp bot, Google Sheets (as a simple CRM), and the team's WhatsApp group. When a high-intent lead is identified (they have a near-term exam, clear motivation), the n8n workflow notifies the team's WhatsApp group immediately so a human can step in if needed. Low-intent leads are nurtured automatically without any human intervention.
